xFabriq Inc. ("xFabriq", "we", "us") provides MAIA by xFabriq, an AI assistant service for people who run a business, and operates the xfabriq.ai website. xFabriq Inc. is responsible for the personal information described in this policy. QNetwork Inc. builds and operates MAIA for us as our service provider, under a written agreement and on our instructions. Our Privacy Officer is accountable for this policy and can be reached at privacy@xfabriq.ai.
We read your email and calendar only to do the work you ask MAIA to do. MAIA asks before it acts: nothing is sent, booked or changed without your approval. We don't store the content of your email. The AI providers we use don't keep your data or train on it. You can disconnect, export or delete your data at any time.
Account details: your name, email address and settings.
Google data you choose to connect: when you connect your Google account, MAIA can access your Gmail and Google Calendar to the extent you allow on Google's consent screen.
Assistant memory: notes MAIA keeps so it can work the way you do, such as your preferences, the people you work with, and context you give it.
Activity log: a record of what MAIA proposed and what you approved, edited or skipped.
Contact and request-access information: if you use our contact form or request access, your name, work email, company, role, the topic you choose, anything you choose to tell us, and whether you agreed to receive emails about the beta.
Technical logs: information about errors and performance. These logs don't contain the content of your email.
We use your information only to provide MAIA to you: to prepare your briefs, sort your inbox, draft replies for your approval, run your account, keep the service secure, and talk to you about your account and the beta. We don't sell your information, we don't use it for advertising, and we don't build profiles of you for anyone else.
MAIA's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
In plain terms: we use Google data only to provide the features you see in MAIA. We don't use it to train AI models, ours or anyone else's. We don't sell it or use it for advertising. No person at xFabriq or at our service providers reads it, except in the circumstances in section 8.
To produce your briefs and drafts, MAIA sends the relevant parts of your data to AI model providers. We use them only under terms that don't retain your data after the request is processed and don't use it to train their models. Each customer has their own private agent; your data is not pooled with other customers' data.
We share information only with the service providers that help us run MAIA and this website (service operation, hosting, databases, secure sign-in, AI processing, messaging and email). QNetwork Inc. builds and operates MAIA for us. Each provider may use the information only to provide its service to us. We'll publish the full list, with what each provider does, on our website; until then, it's available on request at privacy@xfabriq.ai.
We disclose information to authorities only where the law requires it. Where we're allowed to, we'll tell you first. If xFabriq or MAIA is sold or merged, your information may transfer to the new owner, who must keep honouring this policy; we'll tell you before that happens.
No one at xFabriq or at our service providers reads your email or calendar, except with your consent (for example, when you ask us to look into a problem), to investigate security incidents or abuse, or where the law requires it.
Email and calendar content: not stored; read, used to do the work, then discarded.
Assistant memory and account details: until you delete them or close your account, then deleted within 30 days.
Activity log: 12 months. Backups: a rolling 30-day cycle, so deleted data leaves our backups within 30 days. Technical logs: 30 days.
Google access: deleted immediately when you disconnect. Request-access information: until the beta ends, or until you ask us to delete it. Billing records, once paid plans start: 6 years, as Canadian tax law requires.
We'll publish a verified map of where your data is processed and stored on our website. Until it's ready, we make no location claims.
You can see the personal information we hold about you, correct it, export it, delete your account and its data, withdraw consent (including to beta emails; every email has an unsubscribe link), and disconnect Google at any time, from MAIA or from your Google account settings. Email privacy@xfabriq.ai and we'll respond within 30 days.
We protect your information with safeguards appropriate to its sensitivity, access limited to the people who need it to run the service, and a separate private agent for each customer. No system is perfectly secure; if a breach affects you, we'll tell you as the law requires.
MAIA is a business service for adults. It is not directed at anyone under 18, and we don't knowingly collect their information.
When we change this policy, we'll post the new version here with a new effective date. If a change is material, we'll email you before it takes effect.
